Case study: Priya, screened in August, scored in September

Priya was born 22 September 2022. Ms. Ortega administered the BRIGANCE Early Childhood Screen III on 8 August 2026. Priya was ill the next week; a 2 September make-up slot was never used.

On 2 September she sat down with the protocol booklet. The header asked for chronological age. Her laptop clock said 2 September 2026. She subtracted birth date from “today,” wrote 3 years, 11 months, 11 days, and started at the skill items that belong with that early childhood screens age.

That is the wrong age.

The administration date is 8 August 2026. Birth date is 22 September 2022. Days: 8 is smaller than 22, so borrow the length of July (31 days). 8 + 31 = 39; the month column drops from August to July. 39 − 22 = 17 days. Months: 7 is smaller than 9, so borrow a year. 19 − 9 = 10 months. Years: 2025 − 2022 = 3. The YMD age for BRIGANCE on the actual screening date is 3 years, 10 months, and 17 days.

One month in the month column. Same child. Same protocol. Two different starting points on an age-sequenced screen.

BRIGANCE Screens are criterion-referenced. A wrong reference date does not “change a scaled score” in this article — this post will not invent one — but it does change which criterion items you apply. Start too high because you aged the child with the report date, and you skip skills that still belong in the screen. Start too low, and you compare her to a younger band.

Ms. Ortega re-ran both dates in the BRIGANCE age calculator, copied 3 years, 10 months, 17 days, and wrote: DOB 22 Sep 2022; screening date 8 Aug 2026; CA 3;10;17 (exact, no rounding). The error is the default of any calculator that auto-fills “today.”

What a BRIGANCE age calculator actually computes

A brigance age calculator does not score the screen. It does not choose which domain to fail. It subtracts one calendar date from another and prints the elapsed time in years, months, and days.

Birth date is the start of the clock. Confirm it against the enrollment file, not a parent’s “she’s three.” A transposed month (9/22 versus 22/9) is more common than a leap-year edge case.

Test date is the stop of the clock: the day you administered the items you are interpreting. It is not the referral date, consent date, data-entry date, or the child’s next birthday used as a shortcut (“she’ll be four in September”).

BRIGANCE Screens chronological age is that interval, unrounded. Curriculum Associates’ examiner materials for the Early Childhood Screen III emphasize exact calendar age rather than nearest-month rounding. Why test date versus birth date is the whole problem

People search “brigance age calculator” when they already know the child is “about four.” “About” is not a criterion level. Two classroom peers can need different early childhood screens age starting points if one has a late-September birthday and the other an early-August birthday.

Birth date never moves. Test date does.

Using today. Priya’s 25-day lag changed the month; a December screen written in January can change the year. Using the screening-window open or close date under- or over-ages children screened mid-window. Split sessions: pick the date the manual specifies; do not average. Copying last year’s header treats age as a stored property. It is a function of two dates. “How old they seem” belongs in comments, not the age line.

YMD age for BRIGANCE: exact years, months, days

YMD age for BRIGANCE means years, months, and days with calendar borrowing — not a 30-day month assumption, not “year minus year,” and not Pearson nearest-month rounding.

The borrowing method:

  1. Write the test date above the birth date (year, month, day).
  2. Subtract days. If the test day is smaller, borrow the actual number of days in the previous calendar month and reduce the test month by one.
  3. Subtract months. If needed, borrow 12 months and reduce the test year by one.
  4. Subtract years.
  5. Stop. Do not round.

February is the usual failure point. Borrowing from March into February adds 28 days, or 29 in a leap year — never 30. If the borrow looks messy, run the chronological age calculator, then format with BRIGANCE exact-age mode.

Output formats: 3 years, 10 months, 17 days; 3y 10m 17d; or 3:10:17 (ChronoCalc BRIGANCE mode). Wechsler-style 3;11 (days discarded, month possibly rounded) is the wrong convention. Do not paste a morning WISC age onto a BRIGANCE protocol.

Early childhood screens age: what the number is for

Early childhood screens age is not a diagnosis. It is the index that tells the examiner where to enter the skill sequence and which criterion expectations apply for that administration.

BRIGANCE Early Childhood Screen III covers birth through age 7 in the commonly used configuration. Domains typically include physical development, language, academic/cognitive readiness, and self-help / social-emotional skills. Age tells you where to start; performance tells you whether to move. Documentation that survives a file review

On the protocol: date of birth, screening test date, BRIGANCE Screens chronological age in years, months, and days, and that no nearest-month rounding was applied. If the screen spans two days, add the manual’s rule (age calculated to first session, 8 Aug 2026) and do not split the difference. Do not store only “age 3.” Copy from the BRIGANCE age calculator; re-typing is how 17 days becomes 11.

Common calculator mistakes that are not “math”

MDY versus DMY. Look at the printed year-month-day after you enter dates. Defaulting the test date to today is Priya’s entire case study. Selecting Pearson mode rounds to the nearest month once days hit that publisher’s threshold; BRIGANCE does not. Correcting for prematurity inside a BRIGANCE age calculator is usually wrong: chronological age is calendar time since birth unless the examiner’s manual says otherwise. Prematurity belongs in the history and, for infant milestone fairness, in a corrected age calculation — report both; do not silently replace CA. Birthday widgets answer “how old on the next cake.” Screens answer “how old on 8 August.”
